About the Role

We are seeking an experienced Chief Operations Coordinator to join our team in Pune, India. As a key member of our office operations, you will be responsible for overseeing daily activities, managing vendor relationships, coordinating office events, and supporting all administrative functions.

Key Responsibilities:

  • Assist in day-to-day operations of the office and handle administrative requests and queries.
  • Provide general support to visitors and function as the point of contact for internal and external stakeholders.
  • Maintain office equipment, including computers, machines, internet, and books, and assist with hardware setup for staff members and new hires.
  • Oversee inventory management by monitoring stock levels, organizing supplies, and placing orders to ensure the office is well-equipped.
  • Coordinate with the Building Management System (BMS) to ensure proper maintenance of office facilities, manage building services, and address any issues related to the office infrastructure.
  • Evaluate and improve safety protocols, maintain cleanliness, and conduct regular inspections to uphold a safe and healthy work environment.
  • Develop and implement strategies to manage vendor relationships, including contract negotiations, performance evaluation, and issue resolution.
  • Generate monthly and annual reports for administrative expenses and inventory, ensuring timely invoicing and bill payments.
  • Collaborate with the accounts team to ensure compliance with administrative regulations, policies, and procedures.
  • Travel out of city as needed to assist with setting up new offices from scratch and managing related activities.
  • Arrange and manage travel, accommodation, and transportation for official business trips, when required.
  • Organize and manage office events, meetings, team activities, and special occasions, ensuring logistics are handled efficiently.
  • Support HR-related activities, including hiring, onboarding, exit processes, and other tasks as required.
  • Work with US office colleagues to provide support and coordinate activities.
  • Collaborate with the marketing team to support marketing efforts.
  • Attend coordination meetings with the US office as necessary.

Required Qualifications:

  • Bachelor's degree in any discipline.
  • Proven experience (3-8 years) in office administration, facilities management, or a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
