Virtual Event Specialist Role Overview

The Virtual Event Specialist is responsible for conceiving, executing, and optimizing virtual events to captivate the audience, promote products, and support lead generation.

This role requires a combination of organizational skills, creativity, and attention to detail to deliver exceptional virtual event experiences that align with marketing objectives.

Key Responsibilities
  1. Virtual Event Strategy & Execution
    • Develop a comprehensive virtual event plan that aligns with marketing and sales objectives.
    • Identify target audiences and create relevant, engaging virtual event topics.
    • Collaborate with internal teams to secure subject matter experts and ensure high-quality content.
    • Oversee the virtual event lifecycle, including scheduling, promotion, registration, live delivery, and post-event follow-ups.
    • Manage the technical aspects of virtual events, including platform setup, audiovisual coordination, and troubleshooting.
    • Conduct rehearsals with presenters to ensure seamless delivery.
    • Monitor and analyze virtual event performance metrics, providing actionable insights for improvement.
  2. Cross-Functional Collaboration
    • Work closely with the marketing team to align virtual event themes with campaigns and goals.
    • Collaborate with product marketing team to develop webinars that highlight key features and value propositions.
  3. Marketing and Promotion
    • Coordinate with marketing teams to create promotional materials, email campaigns, and social media content to maximize virtual event attendance.
    • Leverage analytics tools to track and optimize promotional efforts.
  4. Reporting & Optimization
    • Track attendance, engagement, and feedback to measure virtual event success.
    • Generate regular performance reports for internal stakeholders.
    • Continuously improve virtual event content, format, and delivery based on audience feedback and data insights.
Qualifications and Skills
  • 2+ years of experience in virtual event management or digital marketing.
  • Strong organizational and project management skills.
  • Familiarity with virtual event platforms (e.g. ON24) and marketing automation tools.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects in a fast-paced environment with minimal supervision.
  • Ability to work in US time zones.
  • Data-driven mindset with experience analyzing virtual event performance metrics.
  • Creative thinker with a passion for delivering engaging virtual experiences.
