Job Summary:
  • This role entails end-to-end software asset lifecycle management, including procurement, license administration, compliance, renewals, and vendor coordination.
  • Strong collaboration with IT, procurement, legal, and desktop support teams is required to ensure software usage aligns with contractual, financial, and regulatory requirements.

Key Responsibilities:

  1. Software Request & License Administration
  2. Process software requests via BMC Helix/Digital Workplace Portal.
  3. Validate license availability and assign licenses through vendor portals (e.g., Microsoft 365, Autodesk).
  4. Initiate license harvesting or procurement when necessary.
  5. Maintain accurate records of license assignments, usage, and compliance.
  6. Contract & Renewal Management
  7. Track contract expirations using dashboards (Asana, Remedy).
  8. Coordinate with legal and procurement for contract reviews and renewals.
  9. Ensure Ariba contracts are active and published before PR/PO creation.
  10. Maintain documentation in Ariba and Remedy for audit readiness.
  11. Procurement & Purchase Order Process
  12. Create and manage Purchase Requisitions (PRs) and POs in SAP.
  13. Collaborate with the Center of Excellence (COE) for PR processing.
  14. Ensure all approvals (gatekeeper, manager, cost center) are documented.
  15. Track PO status and update stakeholders accordingly.
  16. Vendor & Communication Management
  17. Use shared mailboxes for all vendor interactions.
  18. Ensure all communications are tagged to relevant Remedy tickets.
  19. Coordinate with vendors for quotes, license keys, and order confirmations.
  20. Software Deployment & Packaging
  21. Coordinate with desktop engineering and local IT for software packaging and deployment.
  22. Track deployment status and update Remedy tickets.
  23. Manage add-ons and plugin deployments via Intune and Microsoft Entra.
  24. Compliance & Audit
  25. Conduct regular license usage reviews and reclaim unused licenses.
  26. Ensure all actions are documented for audit and compliance.
  27. Support internal and vendor audits by providing accurate license data.
  28. Dashboard & Reporting
  29. Maintain and update SAM dashboards for renewals and compliance tracking.
  30. Export and format data from Remedy for dashboard imports.
  31. Use dashboards for team coordination and audit visibility.
  32. Required Skills & Qualifications:
    1. Bachelor's degree in IT, Business, or related field.
    2. 3–6 years of experience in Software Asset Management or IT Procurement.
    3. Proficiency in SAP, Ariba, Asana, Remedy (BMC Helix), and Microsoft 365 Admin Center.
    4. Strong understanding of software licensing models and compliance.
    5. Experience with vendor portals and contract management systems.
    6. Excellent documentation, communication, and stakeholder management skills.
    7. Ability to work independently and collaboratively in a global team environment.
    8. Preferred Qualifications:
      1. ITIL Foundation or SAM certification (e.g., CSAM, ITAM).
      2. Experience with Intune, Microsoft Entra, and Azure Cost Management.
      3. Familiarity with audit processes and legal contract review.
