Administrative Specialist

Job Summary:
We are seeking a highly skilled and experienced Administrative Specialist to join our team at Upstox. The successful candidate will be responsible for providing administrative support to our Finance and HR stakeholders, ensuring seamless day-to-day operations.
Key Responsibilities:
- Collaborate with Finance and HR stakeholders to develop and implement policies and procedures related to administration, facilities, procurement, travel, and tasks.
- Collect, maintain, and submit bills and invoices, and upload them to the HRMS tool.
- Ensure 100% compliance with Information Security guidelines.
- Develop and implement systems and procedures for efficient office administration across all locations.
- Manage vendor relationships for office supplies, employee onboarding kits, and other supplies.
- Track reimbursement processes and maintain accurate records.
- Coordinate domestic and international travel arrangements for employees.
- Maintain ISO standards for administrative activities.
Requirements:
- 5-8 years of experience in administration.
- Excellent interpersonal, time management, and organizational skills.
- Superior verbal and written communication skills.
- Ability to interact, communicate, and negotiate effectively.
- Self-motivated, professional, and capable of managing workload and prioritizing tasks.
- Excellent data management and filing skills.
- Ability to think on feet and problem-solve effectively.
- Knowledge of domestic and international travel trends.
