Job Title: Front Desk Representative

As a professional and organized individual, we are seeking a skilled Front Desk Representative to serve as the first point of contact for visitors, clients, and vendors.

  • Required Qualifications & Skills:
  • Education Qualification: Any bachelor's degree is required. A master's degree is a plus.
  • Work Experience: 3 – 5 years in customer service, administration, or related field.
  • Presentable, excellent communication skills: Strong written and verbal communication skills with ability to interact effectively with diverse audiences.
  • Strong organizational and multitasking abilities: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Proficiency in MS Office: Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.

Key Responsibilities:

  • Serve as the primary point of contact for visitors, clients, and vendors by providing exceptional customer service and support.
  • Manage the reception area, answer phone calls, and direct inquiries appropriately.
  • Handle courier, mail, and document coordination, ensuring timely and accurate delivery.
  • Schedule and manage meeting rooms, appointments, and visitor logs efficiently.
  • Maintain a professional and welcoming office environment, promoting a positive image of the organization.
  • Provide administrative support to management as needed, assisting with special projects and initiatives.
  • Handle inbound and outbound sales calls, emails, and inquiries, utilizing effective communication skills to resolve customer concerns.
  • Divert sales leads to relevant stakeholders, maintaining strong relationships with clients and customers.
  • Assist in sending promotional materials to potential clients, fostering business growth and development.
  • Prepare and follow up on sales quotations, proposals, and agreements, ensuring accuracy and timeliness.
  • Maintain and update CRM/database with accurate client and sales information, supporting data-driven decision making.
