About the Role

This is an exciting opportunity to join Children First Mental Health Institute Pvt. Ltd. as a confidential support executive to our director, Dr. Kavita Arora. As a member of our team, you will play a vital role in ensuring the smooth operation of Dr. Arora's schedule and client sessions.

You will be responsible for managing Dr. Arora's clinical calendar, coordinating with her to optimize her schedule, and following up with clients for upcoming appointments. Additionally, you will assist with cancellations and reschedules of client sessions, ensure the handover of Dr. Arora's clients to other clinicians, and support her with history updates of client referrals.

Key Responsibilities
  • Client-Related Assistance:
    • Manage Dr. Arora's clinical calendar to ensure timely client sessions
    • Coordinate with Dr. Arora to optimize her schedule and work priorities
    • Follow up with clients for upcoming appointments and provide necessary support
    • Manage cancellations and reschedules of client sessions
    • Ensure seamless handover of Dr. Arora's clients to other clinicians
    • Support Dr. Arora with client referral history updates
  • Non-Client Facing Work:
    • Manage Dr. Arora's calendar for non-clinical and external meetings
    • Manage client files and maintain confidentiality
    • Assist with typing, formatting, and sending letters and communications
    • Manage and file expenses, travel bookings, and related planning for work-related travel
Requirements

To be successful in this role, you will need:

  • A Bachelor's degree in any field, with a desirable qualification in health
  • 3-5 years of experience in an executive assistant role
  • Excellent communication and interpersonal skills, with fluency in English and Hindi
  • High ownership and organizational skills
  • Patience and empathy when dealing with client queries
  • Ability to use MS Office
  • Empathy and patience when working with children and families
  • Awareness and willingness to work in the mental health space
  • Ability to work collaboratively in a multidisciplinary team environment
  • Ability to work with a quick response time and adaptability
Estimated Salary

The estimated salary for this role is ₹600,000 - ₹800,000 per annum, depending on experience and qualifications.
