License Optimization Specialist Job Description

As a License Optimization Specialist, you will work in an IT Vendor Management Office (VMO) to drive license usage efficiencies for Microsoft products.

Key Responsibilities:

  • Review and monitor current Microsoft licenses to ensure optimal assignment based on account type and usage.
  • Collect and consolidate licensing assignments from various portals and IT tools to identify incorrectly assigned or over-assigned licenses.
  • Make recommendations based on licensing usage and assignment data collected.
  • Engage with regional software asset managers and infrastructure teams to investigate and collect pertinent user information.
  • Submit reclamation and license optimization lists for action by infrastructure teams to reduce licensing costs.
  • Liaise with regional onboarding staff to collect user profile information for validating Microsoft license assignments.
  • Liaise with regional HR staff to ensure Microsoft licenses have been optimized according to employment status.
  • Investigate generic non-personal license assignments with IT support and regional SAM resources to validate usage and business requirements.
  • Provide key stakeholders with reports on action statuses and required actions.
  • Supply VMO optimization leads with output files needed for input into Microsoft licensing dashboards.

Requirements and Qualifications

Strong organization and communication skills are necessary to manage, interpret, and explain licensing terms and reclamation strategies. An in-depth understanding of Microsoft enterprise licensing models, particularly M365 E5, Exchange Online, Entra ID, and SharePoint licenses, is also required. Proficiency in SAM reporting tools and Power BI dashboards is desirable. Analytical skills to analyze license usage data and identify underutilized or over-provisioned licenses are essential. The ability to develop and implement automated processes to streamline Microsoft license reclamations is beneficial.
