Executive Support Specialist

We are seeking a highly skilled and organized individual to fill the role of Executive Support Specialist. This dynamic position requires someone who thrives in a fast-paced environment and is passionate about managing calendars, travel, projects, and process improvements efficiently.

Key Responsibilities:
  • Calendar & Travel Management
    • Manage executive schedules, schedule meetings, and prioritize engagements.
    • Coordinate domestic and international travel, including bookings, itineraries, and travel logistics.
    • Anticipate scheduling conflicts and propose solutions proactively.
  • Project Coordination & Management
    • Track, manage, and follow up on project timelines, deadlines, and deliverables.
    • Coordinate cross-functional teams and ensure smooth execution of initiatives.
  • Minutes of Meeting & Documentation
    • Attend meetings with executives and key stakeholders, take detailed minutes, track action items, and ensure timely follow-ups.
    • Maintain organized records and project documentation.
  • Task & Deadline Tracking
    • Monitor ongoing tasks and projects, send reminders, and escalate delays to ensure accountability and timely completion.
  • Exploring Tools, Technology & Process Improvement
    • Identify, evaluate, and implement tools, AI solutions, and technology to improve workflows and efficiency.
    • Recommend process improvements across teams and initiatives.
  • Communication & Stakeholder Management
    • Act as a point of contact for internal teams, ensuring clarity and alignment on project objectives.
    • Prepare concise updates and reports for executives.

Required Skills and Qualifications: 3–5 years of experience in executive support, project coordination, or related roles, strong organizational, multitasking, and time-management skills, exceptional communication and interpersonal skills for cross-functional collaboration, proficiency in project management tools, and Microsoft Office.
