We're seeking an experienced Automation Specialist to lead the design and implementation of a comprehensive automation system.

This critical role focuses on streamlining business operations by integrating multiple tools into seamless workflows, eliminating manual processes, and ensuring compliance standards are met.

  • Key Responsibilities:
  • Create end-to-end document automations for receipts, contracts, audit packs, and authority forms.
  • Develop Slack command workflows for one-click actions.
  • Configure and optimize Pipedrive CRM fields, automations, and deal stages.
  • Automate document generation from Google Docs to PDF to email to Drive storage.
  • Integrate DocuSign for e-signature workflows.
  • Automate property management onboarding workflows.
  • Route leads from funnels and classify them via AI-driven classification.
  • Build compliance workflows for intake checklists, missing-doc reminders, and SLA trackers.
  • Develop dashboards and reporting for KPIs, marketing attribution, and pipeline tracking.
  • Maintain security, compliance, and reliability standards across all workflows.
  • Provide detailed documentation, diagrams, and runbooks, plus training for internal stakeholders.

Requirements:

  • Proven experience with no-code automation platforms.
  • Strong knowledge of Slack integrations and app workflows.
  • Experience with CRM automation, preferably with Pipedrive.
  • Familiarity with Google Workspace automation.
  • Knowledge of DocuSign API/integration.
  • Ability to integrate with Property Management tools and BGL Simple Fund 360.
  • Understanding of compliance-sensitive workflows in finance, property, or legal.
  • Systems thinking to map complex business processes into structured workflows.
  • Excellent communication skills and documentation habits.

Nice to Have:

  • Experience with AI-driven automations.
  • Familiarity with Australian property or SMSF compliance.
  • Prior experience building error handling and monitoring dashboards.
