Occupancy Planning Expert

The role of an Occupancy Planner involves providing strategic support for space management and utilization in a specific geographic region. The primary objective is to ensure optimal allocation and use of available resources, aligning with business needs and objectives.

The planner will be responsible for generating alternative space layouts and reorganization options to accommodate changing business requirements. Activities will include day-to-day change requests, project-based space planning, and solution development, as well as supporting client relationships and coordination efforts.

  • Maintain accurate CAFM data to inform space allocation strategies
  • Oversee facility space and personnel moves within assigned territories to optimize space efficiency and alignment with client goals
  • Foster strong relationships with various client lines of business to understand their requirements and portfolio impacts
  • Collaborate with regional leads and stakeholders to deliver effective planning solutions
  • Develop and present plan options, finalize project concepts, and prepare final documents for approval
  • Provide recommendations for reconfiguration requests based on customer corporate office standards
  • Work closely with Strategy, Project Management, Facility Management, and CRE team members to achieve shared objectives
Key Responsibilities:
  • Serve as the primary client contact for daily relocation requests and simple projects
  • Provide operational and procedural support to ensure project execution in accordance with established guidelines
  • Coordinate and direct move vendors or personnel to deliver successful outcomes
  • Oversee group moves and special requirements; coordinate vendor execution
  • Develop tactical migration plans and sequencing for group-level relocations and project installations
  • Organize data into approved formats for planning and implementation purposes
  • Obtain quotes and generate RFQs required for MAC and simple projects
  • Maintain accurate CAFM system data reflecting current occupancy for assigned territories
  • Maintain awareness of client furniture standards and procurement processes
  • Make recommendations to enhance operational efficiency, service delivery, cost savings, and asset utilization
Requirements:
  • Bachelor's degree and five years work experience in space planning, project management, interior design, move planning, office furniture, and facilities planning
  • Minimum of five years experience in a corporate real estate environment
  • Possesses strong analytical skills and ability to develop conclusions and recommendations
  • Basic knowledge of office furniture systems and CAD/CAFM software
  • Demonstrates proficiency in understanding architectural and engineering drawings, concepts, and design
  • Experienced in managing projects of varied scope and complexity
  • Proficient in CAD and MS Office Suite software applications
  • Excellent customer service and interpersonal relationship skills
  • Ability to work independently and as part of a team
  • Able to build strong relationships with internal and external partners to deliver effective services
  • Strong oral, written, and presentation skills
  • Assumes ownership of requests to ensure successful completion
  • Strong attention to detail and quality
  • Ability to handle concurrent projects with minimal supervision and direction
