The Role of a Purchase Executive in the Cosmetics Industry:

The primary function of a Purchase Executive is to procure raw materials, packaging items, and other consumables required for cosmetic product manufacturing. This involves identifying and sourcing high-quality materials from approved vendors, maintaining optimal inventory levels, and ensuring timely delivery in line with production schedules.

Key Responsibilities include:

  • Sourcing and procurement of raw materials, active ingredients, fragrances, and packaging items
  • Raising and managing purchase orders (POs) in accordance with production and inventory requirements
  • Negotiating with vendors on price, lead times, and quality compliance
  • Evaluating vendor performance based on quality, delivery time, and cost
  • Maintaining accurate records and documentation for audits and quality checks
  • Collaborating with the QA/QC department to ensure receipt of materials as per specifications
  • Optimizing inventory levels and updating the system
  • Coordinating logistics and ensuring on-time delivery of materials

Required Skills and Qualifications:

  • Strong understanding of procurement processes in the cosmetics/pharma industry
  • Knowledge of raw materials used in cosmetics (e.g., emulsifiers, fragrances, preservatives)
  • Familiarity with GMP, FDA, and cosmetic regulatory requirements
  • Negotiation and vendor management skills
  • Proficiency in MS Excel and ERP systems
  • Strong analytical and documentation skills
  • Time management and ability to multitask in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Problem-solving mindset and cost-conscious approach
