Job Title:

Automation Specialist

Job Description:

We are seeking a skilled Automation Specialist to join our team. The ideal candidate will have experience with no-code automation platforms and strong knowledge of Slack integrations and app workflows.

The Automation Specialist will be responsible for designing and implementing document automations, developing workflows for one-click actions via Slack commands, configuring and optimizing Pipedrive CRM, and automating document generation.

The successful candidate will also have experience with Google Workspace automation, knowledge of DocuSign API/integration, and ability to integrate with Property Management tools and BGL Simple Fund 360.

Additionally, the candidate will need to have an understanding of compliance-sensitive workflows, ops/systems mindset, and excellent communication skills and documentation habits.

Key Responsibilities:

  • Design and implement document automations (receipts, contracts, audit packs, authority forms)
  • Develop workflows for one-click actions via Slack commands (/receipt, /contract, /auditpack, etc.)
  • Configure and optimize Pipedrive CRM (fields, automations, deal stages)
  • Automate document generation (Google Docs → PDF → email → Drive storage)
  • Integrate DocuSign for smooth e-signature workflows
  • Streamline onboarding for Property Management tools (PropertyMe/MRI)
  • Route leads from funnels (ClickFunnels/GoHighLevel) and classify them using AI
  • Build compliance workflows (intake checklists, missing-doc reminders, SLA trackers)
  • Develop dashboards & reporting for KPIs, marketing attribution, and pipeline tracking
  • Ensure all workflows adhere to security, compliance, and reliability standards (AU privacy, SMSF)
  • Provide documentation, diagrams, and runbooks, along with training for internal users

Requirements:

  • Proven experience with no-code automation platforms (Make.com/Integromat, Zapier, n8n, etc.)
  • Strong knowledge of Slack integrations and app workflows
  • Experience with CRM automation (Pipedrive preferred)
  • Familiarity with Google Workspace automation (Docs, Drive, Sheets)
  • Knowledge of DocuSign API/integration
  • Ability to integrate with Property Management tools (PropertyMe/MRI) & BGL Simple Fund 360
  • Understanding of compliance-sensitive workflows (finance, property, or legal)
  • Ops/Systems mindset: capable of mapping complex business processes into structured workflows
  • Excellent communication skills and documentation habits
