Responsibilities include coordinating and monitoring property maintenance activities, capital expenditures, and improvement projects to enhance property value and tenant experience.

Effective management of third-party vendor payments and timely mortgage payments is essential.

Insurance coverage must be maintained and managed to minimize financial risk.

Tenant lease maintenance and billing tasks are also crucial, including entering lease agreement information and rent schedules in Yardi, communicating with management and tenants regarding billing and lease language, and applying payments to tenant accounts as needed.

Cash flow reporting and analysis is another key responsibility, requiring the collection and population of data into a cash flow spreadsheet, review of GL for income and expense entries that require reclassification, and analysis of leasing projections and activity.

Lease administration and tenant relations are critical, involving collaboration with leasing teams to ensure lease compliance, accurate documentation, and timely renewal negotiations, as well as establishing and maintaining positive relationships with tenants to enhance tenant satisfaction and retention.

Tenant year-end reconciliations must be set up, prepared, and posted to tenant accounts in Yardi, with responses to all tenant inquiries and audits related to year-end reconciliations.

Annual budget preparation involves gathering budget year income and expense projections from property management and corporate accounting and entering them into the Yardi Budget Module.

Administrative support to executives includes general duties that support company leaders.

Key competencies include strong attention to detail and accuracy, excellent follow-up skills, excellent interpersonal skills, advanced knowledge of general and cost accounting and financial statements, creative problem-solving skills, excellent communication and financial accounting skills, professionalism, emotional maturity, honesty, integrity, and a strong work ethic, as well as a strong sense of teamwork and self-motivation.

A minimum of 3 years professional experience in property management in Yardi is required, along with advanced experience reading and interpreting leases and related documents as well as financial information contained in accounting software, spreadsheets, financial statements, etc., and expert-level proficiency working with Yardi and Microsoft Office Suite (Excel).
