Job Overview: The Sales Coordinator will be responsible for ensuring seamless communication and coordination between the sales team and the production department. This role is crucial in managing customer orders, tracking production schedules, and ensuring timely delivery of products.
Key Responsibilities:
- Order Management:
- Receive and process sales orders from the sales team, ensuring accuracy and completeness.
- Coordinate with the production department to schedule and prioritize orders based on production capacity and delivery timelines.
- Monitor order status and update sales representatives and customers on progress.
2. Production Coordination:
- Liaise with the production team to ensure that production schedules align with order requirements.
- Address any production issues or delays and communicate these to the sales team and customers promptly.
- Ensure that production processes meet quality standards and customer specifications.
3. Inventory Management:
- Collaborate with the inventory team to maintain accurate records of stock levels and order fulfillment.
- Monitor inventory levels and coordinate with production to ensure that materials and components are available for scheduled orders.
4. Customer Communication:
- Serve as the primary point of contact for customers regarding order status, production schedules, and delivery times.
- Address and resolve customer inquiries, concerns, or complaints related to order fulfillment.
5. Documentation and Reporting:
- Maintain accurate records of sales orders, production schedules, and delivery dates.
- Generate regular reports on order status, production progress, and any issues affecting delivery timelines.
- Analyze data to identify trends or areas for improvement in the coordination process.
6. Process Improvement:
- Identify and recommend improvements to enhance the efficiency of the order-to-production process.
- Collaborate with both sales and production teams to implement best practices and streamline workflows.
Qualifications:
- Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred.
- Experience: Minimum of 2 years of experience in a sales coordination or production coordination role, preferably in a manufacturing environment.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with ERP systems.
- Ability to work effectively under pressure and manage tight deadlines.
- Detail-oriented with strong problem-solving skills.
