Business Operations Specialist

Overview of the Role:

As an Operations Management Professional, you will be responsible for overseeing day-to-day workplace operations. This includes managing IT assets, office administration, vendor coordination, and internal tools.

This position requires a strong focus on asset management, with responsibilities including tracking issuance, managing renewals, licenses, and vendor contracts.

The ideal candidate will have experience in structured onboarding and offboarding processes, as well as supporting internal requests with speed, accuracy, and accountability.

Additionally, this role involves procurement and vendor management, including identifying, evaluating, and negotiating with vendors for hardware, software, infrastructure, and services.

You will maintain accurate records of procurement, POs, invoices, and service terms, and drive vendor performance reviews to continuously explore better alternatives.

Event planning and execution are also key components of this role, with responsibilities including leading planning and execution of all internal events.

You will manage logistics, communication, budgeting, and feedback for each event, working closely with HR, L&D, and leadership to align event goals with team culture and business milestones.

Compliance coordination is another critical aspect of this position, with responsibilities including owning internal compliance calendars, ensuring SOPs, policies, and audit requirements are updated and accessible.

You will coordinate internal audits, evidence collection, risk logs, and closure of action items, working cross-functionally with HR, IT, Delivery, and Finance for audit readiness and reporting.

Reporting and governance are also essential components of this role, with responsibilities including maintaining dashboards and trackers for assets, compliance, events, and procurement.

You will provide weekly and monthly reporting to the Head of Operations, highlighting risks, blockers, and opportunities to improve internal processes.

• Track asset issuance, manage renewals, licenses, and vendor contracts
• Own structured onboarding/offboarding experience from a systems and access standpoint
• Support internal requests with speed, accuracy, and accountability
• Identify, evaluate, and negotiate with vendors for hardware, software, infrastructure, and services
• Maintain accurate records of procurement, POs, invoices, and service terms
• Drive vendor performance reviews and continuously explore better alternatives
• Lead planning and execution of all internal events: town halls, offsites, engagement programs, and leadership sessions
• Manage logistics, communication, budgeting, and feedback for each event
• Work closely with HR, L&D, and leadership to align event goals with team culture and business milestones
• Own internal compliance calendars (ISO, CMMI, audits, documentation)
• Ensure SOPs, policies, and audit requirements are updated and accessible
• Coordinate internal audits, evidence collection, risk logs, and closure of action items
• Maintain dashboards and trackers for assets, compliance, events, and procurement
• Provide weekly and monthly reporting to the Head of Operations

• 8+ years of experience in operations, admin, compliance, or event management
• Strong vendor negotiation and multi-tasking abilities
• Proven experience in managing internal processes and delivering cross-functional programs
• Solid documentation, tracking, and reporting skills (Excel/Google Sheets)
• Exposure to ISO/CMMI frameworks is a plus
• A proactive, solution-driven mindset with a strong sense of ownership
