Job Title

An experienced executive with a strong leadership background is required to oversee the day-to-day operations of our administrative team.

About the Role
  • We are seeking an exceptional leader who can provide direct support to senior management, while also being responsible for managing office supplies and equipment.
About You
  • You will be expected to maintain accurate records of office activities, as well as assist in preparing reports and presentations for senior leadership.
  • You must have excellent communication skills and be able to work effectively in a team environment.
Key Responsibilities
  1. Administrative Support:
    1. Manage daily operations of the administrative team, ensuring smooth functioning of office services and tasks.
    2. Provide direct administrative support to senior management, including scheduling, meeting coordination, and document preparation.
    3. Maintain office supplies inventory and order when necessary; ensure office equipment and technology are in good working order.
    4. Coordinate office-wide events, meetings, and conferences.
  2. Team Leadership and Supervision:
    1. Supervise and guide administrative staff, ensuring tasks are completed accurately and efficiently.
    2. Provide training and mentorship to new administrative employees.
    3. Develop and implement workflows, processes, and procedures to optimize team performance.
    4. Conduct performance reviews and assist in developing career growth plans for administrative staff.
  3. Facilities Management:
    1. Oversee maintenance and upkeep of office facilities, ensuring clean and safe working environment.
    2. Liaise with external vendors and contractors for maintenance, repairs, and office supplies.
    3. Coordinate office moves, seating arrangements, and space planning as required.
  4. Documentation and Reporting:
    1. Maintain accurate records of office activities, expenditures, and other relevant documentation.
    2. Assist in preparing and maintaining reports, presentations, and other materials for senior leadership and key stakeholders.
  5. Process Improvement:
    1. Identify areas for process improvement in administrative operations and implement solutions to increase efficiency and productivity.
    2. Work with senior management to streamline administrative procedures and improve team workflows.
  6. Confidentiality and Compliance:
    1. Handle sensitive information and documents with discretion and confidentiality.
    2. Ensure compliance with company policies and legal requirements related to administrative functions.
  7. Special Projects:
    1. Lead or participate in special projects as required by management, including office relocations, system upgrades, and organizational changes.
    2. Assist in developing and implementing new administrative systems or technologies.
