Job Title: Exam Operations Specialist

About the Role:

This position plays a pivotal role in ensuring seamless operations of high-stakes exam centers. The ideal candidate will possess exceptional organizational skills, attention to detail, and effective communication abilities.

Main Responsibilities:
  • Scheduling Management: Coordinate scheduling across multiple exam centers, reviewing upcoming availability and capacity requirements.
  • Collaboration: Work closely with the Workforce Management team on Speaking Examiners' allocation forecasts.
  • Center Utilization: Monitor exam center utilization and recommend adjustments or expansions based on demand.
  • Financial Management: Manage accurate submission of invoices for exam centers, verifying exam volumes and facilitating timely payments.
  • Crisis Management: Coordinate with internal teams to manage unforeseen events, minimizing impact on candidates and stakeholders.
  • Compliance Oversight: Oversee CCTV monitoring across exam centers to ensure ongoing compliance with regulatory standards.
  • Request Handling: Handle requests from exam centers regarding changes in setup or personnel, directing them to the appropriate internal teams.
  • Quality Assurance: Identify and communicate quality-related observations or opportunities for improvement to relevant teams.
  • Site Visits: Conduct visits to exam centers to assess operations, ensure adherence to company standards, and provide on-site support for continuous improvement.
Required Skills and Qualifications:
  • Bachelor's degree in business administration, operations management, or a related field preferred.
  • 1-3 years of previous working experience in a multi-cultural environment would be considered a plus.
  • Excellent attention to detail.
  • Excellent command of the English Language (Level C2). Extra languages desired.
  • Advanced computer literacy is required. ECDL Advanced level certification is desirable.
  • Clear and effective communication skills, both written and verbal.
  • Strong organizational and time-management skills.
  • Ability to work under pressure and meet tight deadlines.
  • Experience in liaising with multiple teams and departments.
  • Strong focus on compliance, ensuring all processes and communications adhere to relevant regulations, company policies, and industry standards.
  • Flexibility to travel as required to support operational needs.
