Financial Operations Specialist

As a Financial Operations Specialist, you will play a key role in maintaining the financial health and stability of our business. You will be responsible for managing daily posting and month-end close processes for multiple locations, ensuring that all financial transactions are accurately recorded and reported.

Responsibilities:

  • Own daily posting and month-end close processes for multiple locations; maintain standardized chart of accounts by brand.
  • Reconcile bank/credit card/merchant accounts and third-party delivery or marketplace deposits, including fees and chargebacks.
  • Match point-of-sale sales to deposits and resolve over/short cash variances.
  • Integrate and reconcile data from various POS systems and maintain clean bank feeds and mapping rules in QuickBooks Online or Xero.
  • Maintain accurate inventory levels and waste tracking; post landed costs and implement perpetual or period inventory where applicable.
  • Manage deferred revenue, including gift cards and prepaid packages/memberships, and track labor percentages by location and department.
  • Run three-way match for vendor bills, code shared costs across locations, and process payments, credit memos, and vendor statements.
  • Set and monitor cash-handling controls and deposit cadence.

Requirements:

  • 3+ years of experience in SMB or franchise bookkeeping, with multi-unit experience preferred.
  • Proficient in QuickBooks Online, with experience in classes/locations, bank rules, and recurring journals.
  • Hands-on experience with at least one POS system listed above and marketplace/aggregator reconciliations.
  • Working knowledge of US GAAP basics, sales tax, payroll journal entries, and multi-state nuances.
  • Strong Excel/Google Sheets skills, including pivot tables, lookups, and basic modeling.
