Job Title: Trade Facilitation Specialist

Overview:

• The trade facilitation specialist is responsible for ensuring seamless import processes, maintaining compliance with regulations, and accurately recording all transactions.
• They will work closely with internal teams to ensure alignment and efficiency in logistics, finance, and procurement operations.

Key Responsibilities:

1. Prepare export documents, including commercial invoices, packing lists, and bill of lading drafts, to ensure timely clearance and minimize customs delays.

2. Generate insurance certificates through online portals and maintain sufficient insured amounts to cover all shipments.

3. Handle hazardous cargo, including understanding hazmat classifications, packing groups, and preparing dangerous goods declarations, to ensure safe transportation and compliance with regulatory requirements.

4. Communicate and coordinate with factories, customs brokers, freight forwarders, transporters, shipping lines, and customers to ensure smooth logistics operations and resolve any issues promptly.

5. Negotiate air or sea freight rates with forwarders, shipping lines, or customs brokers to optimize costs and delivery times.

6. Verify and approve shipment documentation, including SB checklists, BOE checklists, AWB drafts, and BL drafts, to ensure accuracy and compliance.

7. Coordinate with freight forwarders for flight or vessel booking, ensuring that all shipments are properly tracked and delivered on time.

8. Arrange courier services through reputable companies like DHL or FedEx to expedite delivery of sensitive or high-priority shipments.

9. Understand and comply with regulations governing the importation of controlled items, such as SCOMET and Narcotics, to avoid any potential issues or fines.

10. Resolve customer queries and concerns promptly and efficiently, providing accurate information and support to maintain a positive reputation and build customer loyalty.

11. Organize and manage FCL shipments, including factory stuffing, to ensure efficient and cost-effective transportation of large volumes of goods.

12. Apply for Preferential & Non-preferential Certificates of Origin (COOs) online, streamlining the process and reducing paperwork.

13. Efficiently manage multiple shipments simultaneously, prioritizing tasks and deadlines to meet customer expectations and achieve business objectives.

14. Deliver final shipment documents to customers, tracking cargo until delivery, and maintaining accurate records of all export transactions.

15. Maintain precise records for all export shipments, including EGM and RODTEP benefits, to facilitate audit trails and inform future business decisions.

16. Generate RODTEP Scrips and handle DGFT/ICEGATE applications to capitalize on government incentives and minimize tax liabilities.

17. Evaluate and implement relevant packaging solutions, taking into account shipment characteristics and safety regulations, especially when handling hazardous materials.

18. Ensure adherence to import/export regulations, including harmonized system codes, tariffs, and taxes, to avoid non-compliance penalties and reputational damage.

19. Collaborate with internal stakeholders to align and optimize logistics, finance, and procurement operations, driving business growth and success.

Requirements:

• Proficiency in MS Office applications, particularly Excel and Word.
• Excellent communication and team collaboration skills, with the ability to work effectively with diverse stakeholders.
