Procurement Specialist

Job Description:

Purchasing Assistant Manager plays a vital role in maintaining purchasing efficiency and ensuring that quality standards are upheld while minimizing costs within the hotel. The primary responsibility of this position is to ensure the smooth operation of the Purchasing department by procuring required items at competitive prices.

  • Purchasing Procedures: Ensure familiarity with company policies and procedures related to purchasing, and process purchase orders following due authorization from management.
  • Team Supervision: Coordinate and supervise the work of the Purchasing team to achieve operational goals.
  • Supplier Management: Manage supplier relationships and follow up on insurance coverage to ensure compliance with company requirements.
  • Market Price Surveys: Conduct regular market price surveys with the Cost Controller and Executive Chef to obtain competitive quotations.
  • Quotation Review: Review purchase requests before processing purchase orders to ensure competitiveness.
  • Contract and Vendor Management: Obtain necessary approvals for purchases exceeding $100,000 and conduct regular vendor visitations to manage high-risk suppliers.
  • Reporting: Assist in preparing month-end reports and maintain accurate records for contracts, purchase orders, bidding documents, etc.

Key Requirements:

  • Strong Organizational Skills: Ability to handle multiple tasks and meet deadlines.
  • Negotiation and Communication: Effective negotiation and communication skills to interact with suppliers and hotel departments.
  • Cost Control: Knowledge of cost control procedures and experience in managing procurement processes.
  • Documentation: Strong attention to detail in preparing reports and maintaining documentation.
  • Compliance: Understanding of national or global purchasing agreements and government regulations.
