We are seeking a Strategic Operations Coordinator to support our leaders in providing top-notch products and services worldwide. In this role, you will be responsible for efficiently managing and organizing their schedules and meetings, among other tasks.
Our team works closely with multi-functional product teams to improve our products, services, and customer experience.
The role of a Strategic Operations Coordinator involves acting as the primary point of contact between employees, clients, and external partners. You will manage information flow to ensure smooth operations, handling information in a timely and accurate manner. Key stakeholders will have access to relevant data when needed.
An essential aspect of this role is calendar management and meeting coordination. You will be responsible for organizing executives' schedules and coordinating meetings efficiently, contributing to optimized workflow and productivity.
You will also make travel arrangements and accommodations for executives, ensuring smooth travel experiences for our team. Your attention to detail and proactive approach will guarantee seamless execution.
Expense tracking and reporting are critical for financial management. You will accurately record expenses and generate weekly, monthly, or quarterly reports as needed.
As a Strategic Operations Coordinator, you will oversee the performance of other clerical staff, providing guidance and support to ensure that administrative tasks are completed effectively and efficiently.
Formatting information for internal and external communication is crucial for maintaining professionalism and clarity. You will create and format memos, emails, presentations, and reports as required.
Taking minutes during meetings is vital for documenting decisions, action items, and key discussions. Your attention to detail and note-taking skills will ensure accurate meeting records.
Screening and directing phone calls, as well as distributing correspondence, are integral aspects of managing communication flow within the organization.
Organizing and maintaining the office filing system is essential for efficient document management. You will ensure that files are organized and easily accessible when needed.
If you have 2-5 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar role, demonstrating your ability to handle diverse responsibilities effectively, we encourage you to apply for this challenging yet rewarding position.
Your exceptional organizational skills, attention to detail, and ability to multitask will contribute significantly to our success. An estimated annual salary for this role is around $55,000 - $65,000 depending on location and qualifications.
