Job Overview

Automate, streamline, and innovate with our dynamic team to create an end-to-end automation system that simplifies business processes.

We seek a skilled Automation Specialist to design, develop, and deploy reliable automations that meet compliance standards and minimize manual administrative tasks.

Key Responsibilities:

  • Automation Design: Create and implement document automations (receipts, contracts, audit packs, authority forms).
  • Workflow Development: Build Slack command workflows (/receipt, /contract, /auditpack, etc.) for one-click actions.
  • Crm Configuration: Configure and optimize Pipedrive CRM (fields, automations, deal stages).
  • Document Generation: Automate document generation (Google Docs → PDF → email → Drive storage).
  • Signature Workflows: Integrate DocuSign for seamless e-signature workflows.
  • Onboarding Workflows: Automate onboarding workflows for Property Management tools (PropertyMe/MRI).
  • Lead Classification: Route leads from funnels (ClickFunnels/GoHighLevel) and classify them via AI.
  • Compliance Workflows: Develop compliance workflows (intake checklists, missing-doc reminders, SLA trackers).
  • Dashboards & Reporting: Create dashboards & reporting for KPIs, marketing attribution, and pipeline tracking.
  • Security and Compliance: Ensure all workflows adhere to security, compliance, and reliability standards (AU privacy, SMSF).
  • Documentation and Training: Provide documentation, diagrams, and runbooks, plus training for internal users.

Requirements:

  • Proven experience with no-code automation platforms (Make.com/Integromat, Zapier, n8n, etc.).
  • Strong knowledge of Slack integrations and app workflows.
  • Experience with CRM automation (Pipedrive preferred).
  • Familiarity with Google Workspace automation (Docs, Drive, Sheets).
  • Knowledge of DocuSign API/integration.
  • Ability to integrate with Property Management tools (PropertyMe/MRI) & BGL Simple Fund 360.
  • Understanding of compliance-sensitive workflows (finance, property, or legal).
  • Ops/Systems mindset: able to map complex business processes into structured workflows.
  • Excellent communication skills, thorough documentation habits.

Nice to Have:

  • Experience with AI-driven automations (lead classification, knowledge bots).
  • Familiarity with Australian property or SMSF compliance.
  • Prior experience building error handling + monitoring dashboards.
