Administrative Manager - Office Operations

We are seeking a seasoned Administrative Manager to oversee our office infrastructure and day-to-day operations.

  • Manage facilities, utilities, IT, and vendors to ensure seamless office operations.
  • Coordinate daily tasks, including housekeeping, pantry, stationery, front desk, security, and visitor management.
  • Monitor compliance with hygiene standards, consumables, and office cleanliness protocols.
  • Administer people and access management, including onboarding new employees, asset returns, access deactivation, and clearances.
  • Oversee attendance tracking, late entries, and exceptions.
  • Maintain a reliable vendor bench, negotiate costs, track AMCs, and monitor service quality.
  • Coordinate lease agreements, office fit-outs, repairs, and landlord escalations.
  • Verify bills, reconcile petty cash, maintain records for leases, insurance, licenses, and safety certificates.
  • Ensure all necessary documents are up to date and audit-ready, including NOCs, insurance, safety certificates, and first-aid kits.
  • Prepare monthly reports: spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes.
  • Track key performance indicators: utility uptime, hygiene audit scores, ticket closure times, and budget adherence.
  • Ensure late-shift office readiness and provide on-call support for urgent issues.
Requirements
  • 10+ years in administrative roles with stable tenure and clean references.
  • Hands-on experience with utilities, IT, vendors, and housekeeping.
  • Strong negotiation, documentation, and Excel/email skills.
  • Trustworthy with keys, cash, and confidential information.
