
Administrative Project Coordinator

We are seeking an experienced and highly organized Administrative Executive to join our team. In this role, you will be responsible for ensuring the smooth operational readiness of our projects.
The successful candidate will have a strong background in facilities management, administration, or site coordination, with excellent negotiation, vendor management, and problem-solving skills.
The key responsibilities of this role include:
- Coordinating with vendors and contractors to ensure timely setup of furniture, fixtures, and utilities;
- Conducting pre-launch site inspections to verify operational readiness (cleanliness, safety, utilities, equipment);
- Maintaining liaison with local authorities, landlords, and service providers for smooth execution of administrative tasks;
- Ensuring procurement and availability of required materials (stationery, uniforms, housekeeping items, etc.);
- Preparing and maintaining site readiness checklists and reports for management approval;
- Handling travel, accommodation, and logistical arrangements for staff during launch phase;
- Managing petty cash, admin budgets, and expense records for site setup;
- Ensuring compliance with company policies, safety standards, and statutory requirements;
- Supporting operations team with any ad-hoc administrative requirements during pre- and post-launch phases.

Requirements:
- Bachelor's degree in Administration, Management, or related field;
- 3–5 years of experience in facilities management, administration, or site coordination (hospitality/F&B industry preferred);
- Strong negotiation, vendor management, and problem-solving skills;
- Ability to handle multiple sites and work under tight deadlines;
- Proficient in MS Office and basic reporting tools;
- Willingness to travel and work flexible hours during project launches.
