Account Liaison Specialist

The primary function of this role is to act as the main point of contact between our organization and clients. This position is critical to ensuring seamless communication and effective order management.

Key Responsibilities:

  • Establish and maintain strong relationships with clients through exceptional customer service and timely issue resolution.
  • Coordinate with production teams to ensure all orders are fulfilled on time and meet quality standards.
  • Provide regular account updates, including missing asset reports and delivery schedules, to keep clients informed.
  • Collaborate with third-party providers and internal teams to resolve issues promptly and efficiently.
  • Communicate expected delivery dates for titles/assets through internal systems and email/verbal communication.
  • Identify and escalate late or at-risk orders to the Content Operations team for prompt resolution.
  • Work closely with internal operations teams to prioritize and coordinate order fulfillment according to daily work schedules and production schedules.
  • Notify internal stakeholders of any changes in client workflow, new provider requests, delivery delays, or programming changes.
  • Escalate issues quickly to supervisors and senior management when necessary.
  • Request and manage proformas (estimated and final) and purchase orders from clients.
  • Ensure all assets required for order processing are available to the fulfillment team.
  • Manage urgent or high-profile orders with the fulfillment team.
  • Escalate orders in jeopardy of being fulfilled on time.
  • Coordinate all asset acquisition with content providers and third-party labs for on-time delivery of all titles in a client's schedule if applicable.
  • Alert content providers of any content not delivered to PDS prior to due dates.
  • Advise clients of potential content delivery issues before due dates occur.
  • Monitor schedules for accuracy and reconcile any missing information. Work with clients to ensure date accuracy.
  • Understand and apply appropriate rate cards to orders.

Required Skills and Qualifications:

  • Strong verbal and written communication skills.
  • Excellent interpersonal skills.
  • Experience working effectively in fast-paced environments with high volumes of orders.
  • Ability to manage multiple locations and time zones.
  • Highly organized and able to work independently within own process.
  • Proven ability to design processes from scratch to support evolving business needs.
  • Common sense understanding to carry out instructions.
  • Proven problem-solving skills.
  • Effective documentation skills.
  • Attention to detail and ability to juggle multiple priorities.
  • Ability to work well under pressure and meet tight deadlines.
  • Positive, service-oriented personality.
  • Ability to learn and process information quickly.
  • Flexibility to work extended hours and/or weekends as needed.

Experience and Education:

  • Minimum 3 years' experience in customer-facing roles.
  • Customer service experience in the entertainment or media industry is highly desirable.
