Job Title: Customer Support Supervisor

Location: Ahmedabad

Department: Customer Support

The Customer Support Supervisor is responsible for overseeing all aspects of sales order management, ensuring accurate documentation, handling, and tracking order status, maintaining account and item master records, and generating reports and analysis to optimize sales performance and inventory management.

Key Responsibilities:

  • Sales Order Management:
    • Process sales orders daily, ensuring accuracy and timely delivery.
    • Coordinate with the sales team to address order discrepancies or special requirements.
  • Documentation Handling:
    • Prepare proforma invoices, invoices, and Eway bills accurately and in compliance with regulations.
    • Maintain organized records of all sales documentation for easy retrieval and reference.
  • Order Status Tracking:
    • Develop and maintain order status forms to track order progress from placement to delivery.
    • Provide regular updates to customers regarding their order status.
  • Account and Item Master Creation:
    • Create and maintain account master records for new customers and vendors.
    • Establish item master records for new products, ensuring accuracy and completeness.
  • Reporting and Analysis:
    • Generate operating cycle reports and summary sheets to track sales performance and identify trends.
    • Update warehouse analytics sheets to optimize inventory management and fulfillment processes.
  • Sample Invoice Generation:
    • Prepare sample invoices for customer presentations or internal purposes, ensuring accuracy and professionalism.

Qualifications:

  • Education:
    • Bachelor's degree in Business Administration, Marketing, or a related field.
  • Experience:
    • Minimum 2-5 years of experience in customer support, sales order management, or a similar role.
    • Proven experience in handling sales documentation and order processing.
  • Skills and Abilities:
    • Strong organizational skills and attention to detail.
    • Excellent communication and interpersonal skills.
    • Proficiency in using CRM software and Microsoft Office Suite (Excel, Word, PowerPoint).
    • Ability to analyze data and generate insightful reports.
    • Strong problem-solving skills and the ability to address customer issues effectively.
  • Other Requirements:
    • Knowledge of sales order processing and inventory management systems.
    • Familiarity with regulatory requirements for sales documentation and Eway bills.
