Senior Leadership Assistant

We are seeking an experienced and skilled Senior Leadership Assistant to support our company's growth and success. The ideal candidate will have exceptional communication skills, be able to work independently, and possess strong organizational abilities.

The successful candidate will have 3-6 years of experience as a Chief of Staff, Executive Assistant, Operations Manager, or similar strategic support role. They will also have a Bachelor's degree in Business, Finance, or a related field, and proficiency in MS Office Suite (Excel, PowerPoint, Word).

Key responsibilities will include:

  • Managing email inbox, prioritizing messages, drafting replies, and flagging urgent matters.
  • Scheduling and coordinating meetings with brokers, investors, and internal team members.
  • Anticipating needs, surfacing critical information, and ensuring the Principal is prepared for all meetings and decisions.

Additionally, the candidate will be responsible for:

  • Overseeing the firm's CRM and deal pipeline, extracting property and market information from Offering Memorandums (OMs), broker emails, and NDAs.
  • Tracking deal stages and generating pipeline reports.
  • Managing daily tasks and task checklists, ensuring that all workstreams remain on track.

The ideal candidate will also possess:

  • Strong English communication skills, both written and verbal.
  • Ability to learn and work with software platforms like HubSpot and CoStar.
  • Ability to manage multiple priorities with sound judgment and minimal oversight.
  • Demonstrated ability to think critically, anticipate needs, and act as a trusted partner to senior leadership.

Prior experience in the real estate industry, specifically multifamily or commercial, is preferred. Additionally, familiarity with CoStar or other property data tools, and experience drafting or reviewing legal documents (NDAs, LOIs) would be beneficial.
