Job Overview

The Invoicing Coordinator will play a pivotal role in maintaining the financial accuracy of our operations by ensuring timely and precise invoicing.

Key Responsibilities:

  • Prepare and issue invoices to customers with meticulous attention to detail
  • Meet invoice delivery timelines through effective time management and prioritization
  • Enter invoices into customer invoicing websites with ease and efficiency
  • Submit invoices via electronic data interchange, leveraging technology to streamline processes
  • Understand customer-specific invoicing requirements through thorough research and analysis
  • Verify each field on the invoices before submission to ensure accuracy and compliance
  • Maintain support documentation and backups to facilitate seamless operation
  • Update internal systems with invoice submission status to ensure transparency and accountability
  • Maintain invoice submission logs and customer invoicing process files for easy reference and review
  • Collaborate with the finance team to accelerate the invoice submission process through open communication and collaboration
  • Generate and send out statement of accounts to customers in a timely manner
  • Reconcile self-billed cases with customer-approved timesheets to ensure accurate billing and payment
  • Handle invoice rejections and credit/rebills efficiently and effectively
  • Develop and maintain SOPs for complete invoicing processes to ensure consistency and quality
Requirements
  • Fresh graduates to 1.5 years of relevant experience in invoicing and accounting
  • Commerce or finance background (B. Com/M. Com/BBA/MBA) with a strong foundation in numerical skills
  • Excellent written and oral communication skills, with the ability to articulate complex concepts clearly and concisely
  • Hands-on experience with Microsoft Excel, including formulas, V-lookup, and Pivot Table
  • Strong analytical and logical skills, with the ability to analyze data and make informed decisions
  • Good understanding of accounting principles and practices
