Job Title:
Facilities Operations Specialist
- We are seeking a skilled and experienced Facilities Operations Specialist to manage HUB Admin activities/operations & Admin Team.
The successful candidate will be responsible for defining scope and KRA's of Team members, communicating with immediate management for day-to-day activities, and monitoring and reporting key project activities.
The ideal candidate will have good communication skills (written/verbal), experience in conflict management, and willingness to work under extreme pressure. They should also be open to take complete ownership, responsibility & accountability of assigned work.
Key Responsibilities:
- Manage HUB Admin activities/operations & Admin Team
- Define scope and KRA's of Team members
- Communicate and coordinate with immediate management for day-to-day activities
- Direct reporting to Regional Admin Head – on day-to-day activities, incident management etc.
- Monitor and report key project activities, plans, and progresses
- Manage calls and discussions
- End-to-end Exam day and non-exam day administrative activities management and Team coordination
- Evaluate incidents and ensure zero incidents on Exam day related to Admin Services
- Assist in Recruitment, Training, and talent development of Team Members
- Develop and deploy control and Monitoring mechanism Admin Team within HUB
- Train and develop Admin Team within HUB
- Standardize processes at all Exam Venues within HUB
- Manage Vendor relationships and support Regional Head in finalizing contracts and vendor invoices
- Publish regular dashboard on Key Performance Parameters to Regional Admin Head and Sr. Management on need basis
- Act as the central point of contact for all Facility-related matters within HUB
- Ensure SLA/SLS at Exam Venues
- Governance over ViDZ/LISP partners, regular meeting, and closure of Audit points
- Deployment of Adhoc/Contract manpower at Exam Venue
- Support in Shortlisting prospective partner/Venue identified based on defined parameters within region
- Monitor and maintain legal compliances for all Venues
- Prepare and deploy Contingency/BCP
- Conduct surprise checks at exam Venues
- Handle crisis situations
- Coordinate and manage with Manpower agencies on deployment and other staff-related issues & Compliances
- Conduct audits of Exam venues
- Any other duties assigned from time to time
