Job Title: Business Operations Specialist

This role is responsible for managing essential business operations, including quotation preparation, CRM data entry, data analysis, and appointment scheduling.

  • Quotation Management: Prepare, verify, and manage quotations for clients based on company guidelines.
  • Video Recording & Documentation: Capture and maintain records of machine installations at client sites.
  • Credit Control & Cash Flow: Analyze sales and operational data to support business decision-making and ensure timely payments from clients.
  • Marketing Support: Assist in marketing campaigns, including digital promotions and client outreach.
  • Administrative Support: Handle documentation, record-keeping, and report generation as required.

The ideal candidate will have proven experience in a back-office or data management role, proficiency in CRM software and Microsoft Office Suite, strong analytical and organizational skills, and excellent communication skills in English.

Key Responsibilities:
  1. Prepare and manage quotations for clients based on company guidelines.
  2. Capture and maintain records of machine installations at client sites.
  3. Accurately enter and update data in the CRM and other relevant software.
  4. Analyze sales and operational data to support business decision-making.
  5. Monitor and follow up on pending payments and outstanding balances.
  6. Assist in marketing campaigns, including digital promotions and client outreach.
  7. Coordinate and set up meetings with clients and internal teams.
  8. Handle documentation, record-keeping, and report generation as required.

Requirements:

  • Proven experience in a back-office or data management role.
  • Proficiency in CRM software and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong analytical and organizational skills.
  • Ability to multitask and work under deadlines.
  • Excellent communication skills in English.
