Procurement Specialist

We are seeking a skilled and experienced procurement specialist to join our team.

Job Description:

  • The successful candidate will be responsible for managing the procurement process, including receiving Bill of Material from the Design Department and seeking quotations from vendors.

  • Making a cash flow plan to support projects, including constant updates of the cash flow plan and costs incurred on the project.

  • Preparing comparative quotations and submitting them to management for decision-making.

  • Releasing purchase/work orders to vendors with appropriate payment terms and delivery conditions.

  • Following up with the accounts team for release of advances and running payments to vendors as per terms.

  • Ensuring timely material delivery by regular follow-up with vendors.

  • Following up with vendors for material inspection upon readiness.

  • Following up with vendors and transporters for delivery of material on time and in good condition.

  • Following up with vendors for invoices.

  • Entering invoices into SAP.

  • Providing weekly financial project progress to management.

  • Maintaining a database of vendors.

  • Ensuring all work, workers, and movement are insured.

  • Supporting the Tender/BD team in costing of upcoming projects/tenders.

  • Working out various project requirements with respect to utilities, procurement activities, and monitoring overall operations (procurement & logistics) for ensuring timely completion.

  • Monitoring, implementing, and documenting procurement systems, managing commercial activities relating to contracts, equipment, and other related activities.

  • Liaising with site project management to minimize communication gaps between the procurement department and end-users for timely expedition of materials at respective project sites.

  • Dealing with vendors, architects, and contractors, and monitoring expenses with optimum utilization of resources.

  • Providing management reports and key performance data and managing relationships with existing and new suppliers.

  • Maintaining proper worksheets in terms of payments against the orders placed and inventory management. These sheets should be updated daily.

Responsibilities may vary based on business needs.

Requirements:
  • A Graduate, preferably in Electrical or Mechanical Engineering with 7-10 years of experience in procurement.
  • Awareness of products, functions, application parts, and manufacturers.
  • Knowledge of manufacturing processes and raw-materials.
  • Good negotiation and analytical skills.
  • Knowledge of MS Office, SAP, and Analytics.
