Job Description

The role of a Financial Operations Specialist involves managing and maintaining the financial health of an organization. Key responsibilities include:

  1. Financial Record Management: Ensure accuracy and integrity of financial documents, postings, and figures.
  2. File Organization and Maintenance: Secure, organize, and maintain all files, records, cash, and cash equivalents in accordance with established policies and procedures.
  3. Computerized Financial Information Management: Record, store, access, and analyze computerized financial information to compile and keep accurate financial records.
  4. Financial Data Analysis and Reporting: Classify, code, and summarize numerical and financial data to compile and maintain financial records using journals, ledgers, and/or computers.
  5. Report Preparation and Distribution: Prepare, maintain, audit, and distribute statistical, financial, accounting, auditing, or payroll reports and tables as specified.
  6. Closing Procedures and Billings: Complete period-end closing procedures and reports as specified, prepare, review, reconcile, and issue bills, invoices, and account statements according to company procedures.
  7. Vendor Invoicing and Collections: Follow-up and resolve past due accounts and vendor invoices until payment in full is received or resolved.
  8. Interdepartmental Collaboration: Coordinate tasks and work with other departments; serve as a departmental role model or mentor; assign and ensure work tasks are completed on time and meet appropriate quality standards.
  9. Workplace Safety and Compliance: Report work-related accidents or injuries immediately upon occurrence to management/supervisor.
  10. Professionalism and Confidentiality: Adhere to all company policies and procedures; maintain uniform and personal appearance clean and professional; protect company assets; maintain confidentiality of proprietary information.
  11. Effective Communication: Engage in clear and professional communication with others; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  12. Teamwork and Adaptability: Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  13. Physical Demands: Perform manual tasks that require moving, lifting, carrying, pushing, pulling, and placing objects weighing less than or equal to 10 pounds without assistance.
Required Skills and Qualifications
  • Education: High school diploma or GED equivalent.
  • Related Work Experience: At least 1 year of related work experience.
  • Supervisory Experience: No supervisory experience required.
  • License or Certification: None.
