Purchase Coordinator Role

The ideal candidate will have experience in procurement, vendor management and material coordination within the AV industry. The successful individual should be detail-oriented, cost-conscious and proactive in ensuring timely material availability for projects.

About the Job:

This is an exciting opportunity to join our organization as a Purchase Coordinator where you will be responsible for identifying, evaluating and onboarding reliable suppliers. You will also maintain and update the vendor database, conduct regular performance evaluations and build strong relationships with suppliers.

Responsibilities:

  • Vendor Management: Identify and onboard reliable suppliers, maintain the vendor database, evaluate supplier performance and build strong relationships.
  • Procurement & Cost Management: Issue accurate and timely purchase orders, negotiate pricing and payment terms, ensure procurement adheres to technical specifications and quality standards.
  • Material Availability & Logistics: Ensure timely availability of materials, track supplier lead times, handle urgent/unplanned procurement requests, plan dispatches and coordinate logistics/transport vendors.
  • Quality Assurance: Verify compliance of procured items, handle inspections, rejections and replacements with vendors, maintain vendor quality records and drive continuous improvement initiatives.
  • Inventory & Stock Control: Monitor stock levels, ensure timely replenishment, maintain accurate stock entries and consumption logs.
  • Documentation & Compliance: Maintain complete procurement documentation, ensure compliance with audit requirements and company policies.
  • Damage & Risk Management: Report and document material damages, coordinate with vendors and insurers for claims, analyze root causes and implement preventive measures.
  • Project Coordination: Align purchasing schedules with project execution plans, collaborate closely with project teams and provide status updates to project managers and senior management.
