Automation Specialist Job Description

We are seeking an Automation Specialist to design, build and deploy a streamlined end-to-end automation system for our back-office operations. This role focuses on integrating various tools into a seamless workflow.

The goal is to replace manual admin processes with reliable automations that meet compliance standards.

Key Responsibilities:

  • Design and implement document automations (receipts, contracts, audit packs, authority forms)
  • Build Slack command workflows (/receipt, /contract, /auditpack, etc.) for one-click actions
  • Configure and optimize Pipedrive CRM (fields, automations, deal stages)
  • Automate document generation (Google Docs → PDF → email → Drive storage)
  • Integrate DocuSign for seamless e-signature workflows
  • Automate onboarding workflows for Property Management tools (PropertyMe/MRI)
  • Route leads from funnels (ClickFunnels/GoHighLevel) and classify them via AI
  • Build compliance workflows (intake checklists, missing-doc reminders, SLA trackers)
  • Develop dashboards & reporting for KPIs, marketing attribution, and pipeline tracking
  • Ensure all workflows follow security, compliance, and reliability standards
  • Provide documentation, diagrams, and runbooks, plus training for internal users

Requirements:

  • Proven experience with no-code automation platforms (Make.com/Integromat, Zapier, n8n, etc.)
  • Strong knowledge of Slack integrations and app workflows
  • Experience with CRM automation (Pipedrive preferred)
  • Familiarity with Google Workspace automation (Docs, Drive, Sheets)
  • Knowledge of DocuSign API/integration
  • Ability to integrate with Property Management tools (PropertyMe/MRI) & BGL Simple Fund 360
  • Understanding of compliance-sensitive workflows (finance, property, or legal)
  • Ops/Systems mindset: able to map messy business processes into structured workflows
  • Strong communication skills, excellent documentation habits

Nice to Have:

  • Experience with AI-driven automations (lead classification, knowledge bots)
  • Familiarity with Australian property or SMSF compliance
  • Prior experience building error handling + monitoring dashboards
