Import Operations Coordinator

 

This role involves overseeing the import process to ensure seamless execution and compliance with regulations.

  • Key Responsibilities:
  • Coordinate documentation processes, including export invoices, packing lists, BL drafts, and other related documents.
  • Manage insurance certificates through online portals and track insured amounts.
  • Handle hazardous cargo, including understanding Haz Classes and Packing Groups, and prepare Dangerous Goods Declarations.
  • Facilitate communication and coordination with factories, forwarding agents, transporters, shipping lines, and customers.
  • Negotiate air or sea freight rates with forwarders and shipping lines.
  • Verify and approve SB checklists, BOE checklists, AWB drafts, and BL drafts.
  • Cooperate with freight forwarders for flight or vessel bookings.
  • Arrange courier shipments through DHL or FedEx.
  • Understand Letter of Credit (LC) shipments.
  • Monitor and maintain regular review requirements of SCOMET and Narcotics for every shipment.
  • Address export customer queries promptly and efficiently.
  • Organize transport for FCL shipments and factory stuffing.
  • Apply for Preferential & Non-preferential COOs online.
  • Effectively manage multiple shipments at a time.
  • Send final shipment documents to customers and keep track of cargo until delivery.
  • Maintain accurate records for all export shipments, including up-to-date status of EGM and RODTEP benefit.
  • Understand RODTEP Scrip generation and other DGFT/ICEGATE applications.
  • Arrange relevant packaging considering the nature of shipments, especially for dangerous goods.
  • Ensure adherence to import/export regulations, including HS codes, tariffs, and taxes.
  • Maintain accurate records and reports, including import data and compliance documents.
  • Collaborate with internal teams, such as logistics, finance, and procurement, to ensure alignment and efficiency.
  • Stay updated on changes in import/export regulations and company policies.
