Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide exceptional support to our executive leadership. The successful candidate will be responsible for managing and maintaining executive calendars, appointments, and travel arrangements with precision and accuracy.
The ideal candidate will have excellent verbal and written communication skills, enabling effective interaction with executives, stakeholders, and team members. Strong organizational and time-management abilities are essential for prioritizing tasks and managing multiple responsibilities with ease.
Key Responsibilities:
- Calendar Management: Manage and maintain executive calendars, appointments, and travel arrangements with precision and accuracy.
- Meeting Coordination: Coordinate internal and external meetings, including agendas, minutes, and follow-ups, ensuring seamless communication and collaboration.
- Liaison Role: Serve as a liaison between the executive(s) and internal/external stakeholders, building strong relationships and facilitating effective communication.
- Email and Communication Management: Screen and prioritize email and other communications, responding promptly and professionally to ensure timely resolution of issues.
- Reporting and Presentation: Prepare reports, presentations, and correspondence as requested, maintaining high standards of quality and attention to detail.
- Confidentiality and Discretion: Handle confidential information with discretion and professionalism, upholding the trust and confidentiality required in this role.
- Expense Reporting and Reimbursement: Organize and manage expense reports and reimbursements efficiently and accurately.
- Project Support: Support project tracking and coordination for executive-led initiatives, providing administrative assistance and ensuring projects are completed on time.
Required Skills and Qualifications:
- Excellent Communication Skills: Possess excellent verbal and written communication skills, enabling effective interaction with executives, stakeholders, and team members.
- Organizational and Time-Management Abilities: Demonstrate strong organizational and time-management abilities, prioritizing tasks and managing multiple responsibilities with ease.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar and travel management tools are essential for this role.
- Attention to Detail: Ability to handle multiple tasks with high attention to detail, ensuring accuracy and quality in all aspects of work.
- Discretion and Confidentiality: Demonstrate discretion and confidentiality in handling sensitive information, upholding the trust and confidence placed in this role.
