Departmental Assistant

To ensure the smooth functioning of the department, the job holder will be responsible for handling administrative activities.

  • The primary responsibility is to handle day-to-day administrative tasks ensuring a good experience for visiting and resident faculty.

Key responsibilities include arranging travel, stay arrangements at both Hyderabad and Mohali campuses, and timely final honorarium payment invoices.

As part of responsibilities towards Visiting Faculty, the job holder will ensure that all necessary documents are completed on time, including visa applications, flight bookings, and hotel reservations.

The job holder will also assist in the preparation of course material, arrange class seating layouts, and process all course-related invoices and POs.

Maintenance of stationery, issuance of mementos for guest speakers, and coordination with F&B and housekeeping staff for requirements between classes are also part of the job.

The person will coordinate with LRC on required readings/materials for a course, prepare welcome kits, personalized schedules, and emergency contact details, and plan trips local and outstation.

The job holder must possess good communication and interpersonal skills, meticulous planning and organizing abilities, and multitasking and attention-to-detail skills.

Negotiation skills, listening skills, and ability to work effectively with vendors and other stakeholders are essential for the role.

The job holder is expected to work closely with the resident faculty, departments, and external vendors to ensure a seamless experience for visiting and resident faculty.

KPIs include timely bookings, follow-ups, and submissions of payment documents, as well as maintaining records of invoices and course-wise expense sheets.
