Job Description: Workplace AmbassadorClient: UBSLocation: Hyderabad (Aquila & Centaurus)Department: Facilities Management - Workplace ServicesReports To: WorkpManagerPosition OverviewWe are seeking dynamic Workplace Ambassadors to serve as the face of UBS workplace experience, managing soft services operations and ensuring exceptional employee experiences across Aquila and Centaurus locations. This role requires customer-focused professionals who can seamlessly operate between both sites, acting as the primary point of contact for employees while coordinating various soft services to create a world-class workplace environment.Key ResponsibilitiesEmployee Experience & EngagementServe as primary point of contact for UBS employees across workplace servicesProvide exceptional customer service and resolve employee queries promptlyProactively engage with employees to understand needs and gather feedbackSupport new employee onboarding and workplace orientationFacilitate employee events, celebrations, and engagement activitiesMaintain a welcoming and professional workplace atmosphereMulti-Location FlexibilitySeamlessly operate between Aquila and Centaurus locations as requiredMaintain consistent service standards and employee experience across both sitesAdapt to varying workplace cultures and operational requirements at each locationSupport inter-location coordination and employee transitionsEnsure effective communication between site teams and managementFront-of-House & Reception ServicesManage reception desk operations and guest servicesHandle visitor registration, access coordination, and escort servicesMaintain professional front-of-house presentation and ambianceCoordinate meeting room bookings and space reservationsSupport VIP visits and executive-level guest arrangementsEnsure lobby and common areas maintain premium standardsWorkplace Services CoordinationCoordinate soft services including housekeeping, catering, and maintenance requestsMonitor service delivery quality and address any service gapsHandle employee service requests through ticketing systems or direct interactionCoordinate with vendors and service providers for seamless service deliverySupport workplace amenity management (cafeteria, wellness areas, recreation spaces)Manage workplace announcements and communication disseminationSpace & Environment ManagementMonitor workplace utilization and space optimizationSupport hot-desking, flexible workspace, and hybrid work arrangementsCoordinate workspace setup for new joiners and relocationsEnsure workplace comfort through temperature, lighting, and ambiance managementSupport space planning initiatives and workplace transformation projectsMaintain workplace aesthetics and professional environment standardsHealth, Safety & Compliance SupportSupport health and safety protocols and emergency proceduresMonitor compliance with workplace policies and guidelinesAssist in evacuation drills and emergency response coordinationEnsure adherence to COVID-19 and health safety measuresReport safety hazards and coordinate corrective actionsSupport workplace wellness initiatives and programsTechnology & Digital Services SupportAssist employees with workplace technology and digital servicesCoordinate IT support requests and equipment issuesSupport audio-visual setup for meetings and eventsManage workplace applications and booking systemsProvide basic troubleshooting for workplace technologySupport digital workplace initiatives and implementationsAdministrative & Operational SupportMaintain workplace documentation and service recordsGenerate reports on employee feedback and service metricsSupport inventory management for workplace supplies and amenitiesCoordinate with facilities teams for operational requirementsHandle administrative tasks related to workplace servicesSupport budget tracking and cost management initiativesRequired QualificationsEducation & ExperienceBachelor's degree in Hospitality, Business Administration, Communications, or related field3-5 years of experience in customer service, hospitality, or workplace servicesExperience in corporate environment or executive support roles preferredBackground in front-of-house operations, guest services, or employee experienceExperience with multi-location operations is advantageousCore
