Facility ExecutiveThe role of Facility Executive involves overseeing the day-to-day operations of a property, prioritizing its needs and working closely with the facilities manager and assistant facilities manager.Key Responsibilities:Manage administrative functions, security issues, and facility services.Continuously improve processes and ensure adequate stocks and materials for smooth operations.Mitigate risks through emergency evacuation procedures and business continuity plans.Operational Tasks:Perform routine site rounds and critical area inspections.Track and close tickets within Service Level Agreements (SLA).Update shift-wise Maintenance & Engineering stock records.Manage vendors at the site.Coordinate with the Local Liaison team.Work with the Site Facilities Management team for daily activities.Prepare material Bills of Quantities (BOQs) if required.Deploy and manage manpower.Manage inventory and stores.Ensure checklists are updated and the facility is well-maintained.Prepare daily, weekly, and monthly reports.Monitor energy consumption and data management.Manage weekly and monthly Facilities Management and Local Liaison Minutes of Meetings (MOMs).Keep administrative reports up-to-date.Record incidents and track them.Manage technical equipment data sheets and vendor information according to the 52-week Planned Preventive Maintenance (PPM) calendar schedule.Brief the Maintenance & Engineering team regularly.Observe and close daily basis activities.Record PPM and service reports and update them as needed.Issue and record work permits.Manage gate passes and material movements.Provide data and reports to clients as required.Check logbooks, checklists, equipment history cards, and inventory registers regularly.Provide regular training for the Maintenance & Engineering teams.Manage Maintenance & Engineering team attendance and records.Work flexible shifts, including six days a week.
