Job Profile: Administrative Assistant

We are seeking a proactive and organized Administrative Assistant to support the smooth execution of this innovative project.

Key Responsibilities:

Project Support:

- Assist in coordinating daily activities related to the development and execution of all task related to the project.
- Liaise with internal teams, vendors, and stakeholders to ensure timely project milestones.
- Manage communication between departments to ensure efficient project flow.
- Provide ad hoc support around office as needed.

Administrative Duties:

- Handle scheduling, meeting arrangements, and correspondence for the leadership team and project managers.
- Maintain records, track project documentation, and ensure the accuracy of all legal and financial paperwork required for the platform’s development.
- Manage day-to-day administrative tasks such as answering phones, managing email inquiries, and handling company communications.

Data and Reporting:

- Compile and organize data related to project progress, financials, and compliance, ensuring accurate reporting.
- Assist in preparing presentations, status reports, and documents for investors and stakeholders.

Compliance and Documentation:

- Ensure all company documentation, licenses, and filings related to registration and compliance are up-to-date and organized.
- Assist in managing legal documents related to company registration, partnerships, and platform compliance in alignment with regulatory standards.
- Creation of a office protocol to Ensure file organization.

Financial Coordination:

- Support finance teams by tracking invoices, managing expense reports, and maintaining records of project-related financial activities.
- Assist in budget tracking and ensure cost-effectiveness in administrative processes.

Cross-functional Collaboration:

- Act as the communication bridge between developers, legal advisors, financial analysts, and the management team.
- Ensure smooth communication flow to maintain project timelines and quality.

Qualifications:

- Bachelor’s degree in Business Administration, Management, or a related field.
- Prior experience in an administrative or project coordination role.
- Excellent organizational, time-management, and multitasking skills.
- Strong communication abilities, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- Experience in handling financial documents and maintaining compliance paperwork is a plus.
- Ability to work in a fast-paced, dynamic startup environment.
- Exhibit high standards and have an ability to take initiative, and prioritize daily tasks.
- A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
