Job OverviewThis role is a key position within our organization, responsible for overseeing the management of various projects.About the JobThe successful candidate will be responsible for assisting in the preparation of annual work plans and budgets, as well as monthly financial forecasts and other necessary documents.They will also assist in the procurement of services and materials, and ensure that all documentation is accurate and up-to-date.This role requires excellent organizational and communication skills, with the ability to work effectively in a team environment.ResponsibilitiesAssist in the preparation of annual work plans and budgets, ensuring that all components are accurately reflected.Prepare monthly financial forecasts and other necessary documents, such as Statements of Performance and Expenditure.Procure services and materials as required, ensuring that all documentation is accurate and up-to-date.Verify expenditure reported by DIUs and consolidate it into the prescribed format of JICA.FOLLOW UP WITH DIUS FOR SUBMISSION OF SOP AND SOE ON A MONTHLY BASIS IN TIME ALONG WITH ALL SUPPORTING VOUCHERS AND DOCUMENTS.Assist in the preparation of JICA fund disbursement, expenditure and reimbursement claims periodically along with supporting documents.Preparation of information / report / road map etc. as per directions of Project Management Unit.Maintenance of accounts in computerised accounting system (e.g. Tally etc.).To provide training to all DIU staff for maintaining project accounting expenditure and receipts as per the JICA project norms.To maintain grant ledgers and expenditure ledgers for the all the component budget heads.FOLLOW UP WITH THE INTERNAL/EXTERNAL AUDITORS OF THE PROJECT DURING THE AUDIT. ALSO ASSIST IN COORDINATING FINANCIAL AUDIT AS REQUIRED BY THE JICA.To prepare the audit query response for the queries raised by the auditors in course of time.To assist PMU to keep the record of the assets procured under the project To coordinate with CAG auditors during the course of audit. All records kept in full shape to produce before the auditor Preparation of MIS report monthly/quarterly for review of the PEC.Prepare presentations for the review meetings about financial and activity progress.
