Key Responsibilities:


Office Coordination & Maintenance:

  • Facility Management: Oversee office maintenance (water, AC, electricity, furniture) and cleanliness.
  • Vendor Coordination: Communicate with vendors (cleaners, electricians, etc.) to ensure timely services.
  • Society Coordination: Handle issues with the building/society management (security, maintenance).

Communication with Founders:

  • Coordinate with founders for office needs, meeting schedules, and travel arrangements.

Tech Support & Employee Assistance:

  • Provide basic IT support (laptops, phones, and internet) and maintain office tech equipment.

Stationery & Supplies Management:

  • Manage inventory, order supplies, and track deliveries.

Document & Printing Management:

  • Oversee document printing, coordination for meetings, and ensure printer/copier functionality.

Asset Allocation:

  • Allocate and track office assets (laptops, phones, chargers) and maintain records.

Travel & Hotel Arrangements:

  • Book travel (flights, trains, hotels) and coordinate with agencies for bookings.

ID card Management:

  • Manage employee ID card allocation and office access.

Vendor Invoice Coordination:

  • Ensure timely vendor invoice submissions, approvals, and accurate payments.

Bookkeeping & Reporting:

  • Track office-related expenses, manage petty cash, and assist in reporting.

Logistics & Courier Services:

  • Manage deliveries, coordinate with couriers (e.g., We Fast, Porter), and track office packages.

Reimbursement:

Creating reimbursement folder each month, checking the proof and calculation.

Assisting in the Interview process:

Assisting the candidate, giving them interview form.
