Administration Support Specialist

Job Overview:The Administration Support Specialist will play a crucial role in ensuring the smooth functioning of our organization's administrative operations.Key Responsibilities:Administrative Operations & Team Support:Assist in supervising and monitoring day-to-day activities of admin staff, focusing on process improvements and team collaboration.Develop and implement effective administrative processes, policies, and standard operating procedures to enhance efficiency.Ensure timely completion of tasks by allocating resources effectively and following up with team members.Facility Management:Oversee office maintenance, housekeeping, security, and ensure high operational standards are maintained at all times.Manage office supplies, procurement coordination, vendor relationships, and inventory control to minimize costs.Monitor workspace conditions to ensure they remain safe, clean, secure, and well-maintained.Compliance & Coordination:Coordinate with external authorities, property management, and statutory bodies for facility-related compliances and documentation.Support record-keeping and documentation as per audit and compliance requirements to maintain organizational transparency.Communication & Documentation:Maintain organized filing systems, records, and administrative documentation to facilitate easy access and retrieval.Facilitate seamless communication across departments to support operational requirements and ensure alignment with company objectives.Adhere to established company procedures and escalate issues to management as required.Infrastructure Support:Assist in overseeing renovation, maintenance, and infrastructure improvement projects to ensure timely completion.Coordinate with vendors, contractors, and internal teams to guarantee successful project outcomes.Track project progress, maintain reports, and support budget monitoring to optimize resource allocation.Equipment Management:Ensure proper usage, care, and upkeep of office equipment and materials to extend their lifespan.Coordinate repair, servicing, and preventive maintenance activities with vendors and internal teams to minimize downtime.Additional Responsibilities:Address administrative issues promptly and implement quick resolution strategies to minimize disruptions.Support management in preparing reports, audits, and budgets to inform strategic decision-making.Execute additional tasks assigned by management from time to time to ensure organizational goals are met.Required Skills & Qualifications:Proven experience in administrative operations, preferably in a similar role or industry.Excellent communication, interpersonal, and problem-solving skills.Ability to work independently and collaboratively as part of a dynamic team.Strong organizational, time management, and prioritization skills.Familiarity with office software, hardware, and equipment.Benefits:Opportunity to grow professionally in a fast-paced and dynamic environment.Competitive salary and benefits package.Collaborative and supportive work culture.
