Reports to: Executive Management Team


Job Summary:


The Deputy Chief of Staff will act as a strategic and operational partner to the Executive Management team at Softcell, with a primary focus on enhancing efficiency through automation, AI, and financial data insights. This role is ideal for a tech-savvy professional skilled in implementing advanced analytics, developing dashboards, and performing financial analysis to support high-level decision-making. The Deputy Chief of Staff will help streamline processes, improve data visibility across departments, and deliver actionable insights aligned with Softcell’s strategic goals. Strong capabilities in automation, financial analysis, and AI tools are essential for success in this position.


Key Responsibilities:


1. Strategic Automation & Process Improvement

• Drive the adoption of automation tools and AI-driven platforms to improve workflow efficiency, streamline report generation, and simplify routine tasks.

• Identify and implement technology solutions to optimise executive time management, automate repetitive processes, and enhance cross-departmental collaboration.

• Evaluate and integrate emerging tools to maximise productivity across the Executive Office through advanced automation and AI capabilities.


2. Data Analytics & Dashboard Management

• Design and maintain executive dashboards to provide real-time insights into key performance indicators (KPIs), project progress, and financial metrics.

• Utilise analytics tools (e.g., Power BI, Tableau) to create data visualisations, trend analyses, and custom reports that inform executive decision-making.

• Conduct in-depth data analyses on industry trends, business performance, and operational metrics, presenting findings through automated dashboards and executive summaries.


3. Financial Analysis & Strategic Insights

• Collaborate with finance to oversee budgeting, forecasting, and performance analysis, delivering insights that guide strategic financial decisions.

• Develop financial models and scenario analyses to support executive planning, revenue growth initiatives, and cost optimisation efforts.

• Prepare quarterly and annual financial summaries, offering the Executive Management team a clear overview of fiscal health and investment opportunities.


4. Project & Strategic Management

• Oversee cross-functional projects, focusing on data-driven tracking of milestones and automated reporting to ensure timely execution.

• Use data analytics to assess project impact and identify improvement opportunities, aligning outcomes with Softcell’s strategic goals.

• Coordinate with department heads to ensure alignment with executive priorities, supporting initiatives with real-time data insights.


5. Cross-Departmental Communication & Alignment

• Act as a key liaison between the Executive team and various departments, using dashboards and automation to streamline updates and enhance transparency.

• Facilitate executive meetings, prepare AI-supported agendas, and manage follow-up actions through task-tracking tools and automated reminders.

• Build and maintain relationships with key stakeholders, utilising data-driven insights to represent the Executive Management team with accuracy and professionalism.


Qualifications & Experience:


• Education: Bachelor’s degree in Engineering with Masters in Business Administration, Finance, or a related field.

• Experience: Minimum of 5-7 years in a strategic or analytical role, with a strong focus on finance, data analytics, AI, and automation.

• Tech Skills: Proficiency in AI productivity tools, automation platforms, and advanced analytics. Familiarity with project management software and dashboard development is essential.

• Financial Acumen: Solid background in financial analysis, including budgeting, forecasting, and financial modelling to support data-driven decision-making.

• Analytical Skills: Advanced ability to analyse data, identify trends, and develop insights for executive decision-making.
