Job DescriptionThe Secretariat Coordinator plays a vital role in supporting the organization's administrative operations.Main Responsibilities:Administrative SupportCoordinate office schedules, appointments, meetings, and events to ensure seamless execution.Process incoming and outgoing correspondence promptly and professionally, maintaining high standards of communication.Documentation & FilingOrganize and maintain both physical and digital records, guaranteeing easy access and confidentiality.Prepare reports, presentations, and documents as needed, showcasing organizational skills.Office LogisticsLiaise with vendors and service providers to maintain smooth office operations, ensuring minimal disruptions.Meeting CoordinationSchedule and coordinate meetings, including preparing agendas and taking minutes, promoting effective communication.Follow up on action items, ensuring timely completion and minimizing delays.Support to LeadershipAssist leadership with daily tasks, including travel arrangements, itinerary planning, and expense tracking, demonstrating organizational capabilities.Communication ManagementAct as the first point of contact for visitors and stakeholders, providing courteous and professional service, enhancing the organization's image.Coordinate internal and external communications effectively, fostering strong relationships.Manage the organization's social media and PR channels, presenting a positive online presence.Event SupportContribute to planning and organizing office events, workshops, and conferences, adding value to the organization's initiatives.Ensure smooth execution of logistics and operations for events, guaranteeing their success.Data ManagementUpdate and manage office databases, contact lists, and other essential records, maintaining data accuracy and confidentiality.Compliance & ReportingSupport in maintaining compliance with organizational policies and procedures, upholding the organization's integrity.Generate regular updates and reports for management as required, providing valuable insights.Miscellaneous TasksProvide general support to the team as needed, demonstrating adaptability.Take initiative in identifying and resolving administrative issues, showcasing problem-solving skills.
