Job Summary: The Controller of Examination is a senior administrative position responsible for the formulations of policies and procedures related to examinations, smooth conduct of examinations, assessment processes, and ensuring the integrity and confidentiality of all examination-related activities. The role requires comprehensive planning, implementation, and monitoring of all examination procedures to maintain high academic standards.
Key Responsibilities:
Examination Management:
Plan, organize, and manage all university examinations, including semester internal assessments and semester end examinations at UG, PG and PhD level.
Ensure timely preparation and publication of examination schedules.
Oversee the setting, printing, and distribution of question papers while maintaining strict confidentiality.
Coordinate the logistics for examination venues, including seating arrangements and invigilation duties.
Coordination and Communication:
Liaise with academic departments, faculty members, and administrative staff to ensure smooth examination processes.
Communicate examination-related information to students and faculty through official channels.
Address and resolve examination-related grievances and issues promptly and efficiently.
Assessment and Result Processing:
Oversee the evaluation process, ensuring timely and accurate marking of answer scripts.
Supervise the tabulation and publication of results, ensuring accuracy and transparency.
Manage the process of paper viewing of answer scripts as per university regulations.
Regulatory Compliance:
Ensure compliance with university examination policies and regulations.
Stay updated with relevant government and educational body regulations regarding examinations and assessments.
Implement measures to prevent and address instances of malpractice or misconduct during examinations.
Data Management and Security:
Maintain a secure and efficient database of student records, examination results, and related documents.
Ensure the confidentiality and integrity of examination data.
Implement and oversee the use of technology in examination processes, including online examinations where applicable.
Continuous Improvement:
Review and update examination procedures regularly to improve efficiency and effectiveness.
Implement best practices and innovative solutions in the management of examinations.
Conduct training sessions for faculty and staff involved in examination duties.
Qualifications and Experience:
Education:
A postgraduate degree from a recognized university. A Ph.D. in a relevant field is preferred.
Experience:
At least 10-15 years of academic and administrative experience, with a minimum of 5 years in a COE role related to examination management in a university or similar institution.
Skills and Competencies:
Strong organizational and planning skills.
Excellent communication and interpersonal skills.
Proficiency in the use of examination management software and other relevant technologies.
High ethical standards and integrity.
Ability to work under pressure and meet strict deadlines.
