- Client Reception: Greet and assist clients, visitors, and vendors in a professional manner.
- Phone & Email Management: Answer incoming calls, manage correspondence, and direct inquiries to the appropriate departments.
- Visitor Coordination: Maintain a log of visitors, ensure proper security procedures are followed, and provide necessary information or direction.
- Meeting Room Management: Schedule and manage meeting room bookings, ensure cleanliness and preparedness of rooms for meetings.
- Office Supplies Management: Monitor and order office supplies as needed and ensure timely restocking.
- Administrative Support: Assist the team with administrative duties, including data entry, filing, and maintaining office records.
- Invoice & Billing: Handle the preparation and dispatch of invoices, follow-up on payments, and ensure accurate billing to clients.
- Expense Management: Assist in managing petty cash, tracking office expenses, and preparing expense reports for review.
- Accounts Payable & Receivable: Process payments, maintain accounts payable and receivable records, and ensure timely payments to vendors.
- Bank Reconciliation: Assist in monthly bank reconciliations and report discrepancies to the Accounts Manager.
- Record Keeping: Maintain financial records in accordance with company policies and procedures.
- Assist with Audits: Provide documentation and support during audits and financial reviews.
- Education: Bachelor's degree in Commerce, Accounting, Finance, or a related field.
- Experience: 2-3 years of experience in a similar role combining front desk and basic accounting duties.
- Skills:
- Proficiency in MS Office (Word, Excel) and accounting software (e.g., Tally, QuickBooks).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Knowledge of basic accounting principles.
- Personal Attributes:
- Professional demeanor with a customer-focused attitude.
- Ability to work independently and in a team environment.
- Attention to detail and a high level of accuracy.
- Monday to Saturday, 10:00 am - 7:00 pm
- Flexibility to work extended hours if necessary.
