Inviting applications for the role of Senior Manager, Accounts Payable looking for a candidate with good understanding and ability to manage day-to-day Accounts Payable Operations including Invoice processing, Travel and Expense, Payments and Expert desk / service desk operations while meeting the agreed metrics. In this role, the shortlisted candidate will be responsible to manage multiple teams to deliver end-to-end AP Operations (Invoice processing, Travel and Expense, Payments and Expert desk / Service desk). Act as first point of escalation to coordinate with Vendors, PROCESS-HR, procurement, sales, and other relevant Finance teams within PROCESS to resolve queries / issues related to invoices and get them posted to supplier accounts. Also record updates in the process, Operational metrics and get them signed off by PROCESS teams appropriately. Responsibilities: Strategic Planning and Implementation .Work with leadership teams to develop and execute strategic plans to enhance team efficiency and productivity. Implement strategies to refine the accounts payable, T&E and Payment processes. .Create team objectives and goals in line with the organization's strategic plans. .Own end-to-end PTP -AP, Payment, T&E processes with minimum supervision. .Own various operational metrics and be instrumental to coach teams to achieve daily turnaround time, accuracy. Manage and deliver smooth month end close with strong understanding of Accruals, Paid on time, DPO. .Work with management to set monthly productivity targets, Payment efficiency, and overall Accounts Payable management in alignment with business goals. .Manage the Accounts Payable portfolio and work with different teams to establish strong customer relations & business acumen. Team Management and Development: .Lead and coach team responsible for day-to-day operations and ensure defined metrics are met with zero surprises. Manage relevant data to support metrics / performance. .Conduct training sessions and workshops to enhance team knowledge and skills in the assigned scope of work. .Conduct regular performance reviews and provide constructive feedback. .Work with HR and leadership teams in resource planning including resource retention and skill development. .Work with HR and other relevant teams in resolving team conflicts. .Work with Training teams to develop Training plan to update team skills and to ensure team is up to date on new skill required from time to time. .Work with leadership teams in resource planning and team allocations to different sub processes on the floor. .Drive yearly performance review of the team and provide constructive feedback for betterment. Manage Process, Metrics, Governance, Controls for surprise free Operations: .Own agreed metrics and ensure team achieves daily turnaround time with 100% accuracy. .Act as a main point of contact for escalated issues, ensure timely resolution and communicated appropriately across the leadership teams. .Support in defining team priorities and initiatives to manage workload effectively. .Allocate resources effectively, ensure balanced workloads and clear priorities. .Conduct daily and weekly team meeting and gather exceptions and deviations for management's review. .Review & Reconcile work (Inflow vs. completion) daily, develop & circulate daily productivity reports to leadership teams both Genpact and PROCESS. .Responsible to collate data and build Reports /Dash boards for operational performance metrics. .Build and manage key relationships with different teams within PROCESS and Genpact. .Work with leadership teams to develop proper Governance structures and involve and contribute to governance meetings at country / Business Unit level. .Collaborate with different teams in PROCESS and Genpact to develop strategies to improve performance metrics and reduce processing time. .Supervise generic email boxes for incoming queries as well as resolving them as per the agreed metrics. .Keep track of all requests received, both ticket and manual tracker, for proper workload distribution. .Work with Subject Matter Expert (SMEs) and Managers to establish follow up and escalation metrics, get them implemented for better Follow-up and escalation mechanism with suppliers/vendors / PROCESS teams whenever required to resolve queries. .Review AP ageing reports and plan resolutions for various activities around Debit balance clearing, Direct Debits accounting, duplicate payments, and clear other payment blocks to help improve Paid on Time (POT) metrics. .Review and maintain comprehensive documentation related to process best practices, and resolutions. .Review Corrective and Preventive Actions (CAPA) for the errors/issues highlighted in the process. Continuously train the teams to ensure knowledge gaps are minimized /eliminated. .Periodically review Standard Operating Procedures (SOPs), ensure all the process and technology updates are captured and approved by PROCESS and Genpact teams appropriately. .Maintain 100% accuracy & turnaround time in delivery and ensure the required reports are circulated without any excuses. .Build and support strong relationship with clients, ensuring satisfaction with data accuracy and service levels. .Collaborate with clients to understand evolving requirements and implement solutions accordingly. .Find gaps or inefficiencies in the process. Record exceptions and deviations in Accounts Payables including Invoice processing, Master data, payments and other sub processes. Work closely with SMEs and transformation teams to develop solutions for improvement. .Drive automation initiatives to improve data accuracy and reduce manual intervention. .Support and implement the best practices for Invoice processing and supplier management activities. .Establish and enforce controls to secure sensitive Vendor accounts and associated information. .Drive a culture of accountability, and continuous improvement mindset within the team. Collaborate with Transformation teams in building improvement opportunity pipeline for automation and process standardization. .Organize operational governance meetings with country / Business Units (BUs). Share relevant updates in the meeting and get required alignments where necessary. .Publish daily health metrics to internal management and raise caution on any challenges. .Meet agreed metrics and highlight any discrepancies to the management.Risk Management .Maintain and implement process controls to protect PROCESS against any risk. .Work with training and other relevant teams to continuously educate teams on potential risks and mitigation techniques.
