Role Overview Events Planner Project Manager The Wembley Box Coordinator is responsible for the end-to-end management of events and hospitality box operations at Wembley Stadium for all hosted events This includes campaign setup client engagement logistics catering ticketing and financial reconciliation The role requires strong organizational skills attention to detail and the ability to collaborate across marketing finance and venue teams Additionally event planner role will need to have skills in website build and comms coordination through Cvent tool for events outside of Wembley box Key Responsibilities Campaign Event Setup Launch and manage Winzone campaigns for all Wembley events Submit E C Ethics Compliance forms for each event in a timely manner Promote each event using the Wembley distribution list Client Engagement Invitations Monitor daily nominations in Winzone Approve nominations and send client invitations ensuring Client Partners CPs are copied Track client registrations and update the master spreadsheet Allocate hosts and obtain project codes for each event Logistics Catering Order event catering within the required timeline Download tickets from the Wembley portal Send out tickets and communications to clients and hosts Ensure the box catering account is topped up Request invoices from the venue Process payments via Ariba Finance Reporting Create and submit a monthly cross-charging report for Finance Ensure accurate tracking of costs and allocations Marketing Collaboration Work closely with the Marketing team to ensure the box is filled for each event Year-End Reporting Create a PowerPoint presentation summarizing all events used to promote Wembley experiential experiences Develop a PowerPoint report showing percentage of usage and client vs Cognizant attendee ratios across all events Skills Experience Required Proven experience in event coordination or hospitality management Familiarity with tools such as Winzone Ariba and Excel Strong communication and stakeholder management skills Ability to manage multiple events and deadlines simultaneously Experience working with marketing and finance teams is a plus Cvent portal strong skills in building websites and communication via portal
