Job Description Roles & Responsibilities: Vendor & Tech Management: - Source, onboard, and manage vendors for IT, internet, facility services, and office infrastructure. - Oversee SaaS subscriptions, renewals, and maintain software license compliance and asset registers. - Negotiate contracts, track SLAs, and ensure timely support from vendors. - Coordinate with internal IT for laptop procurement, inventory audits, and disposal planning. Travel, Visa & Logistics: - Manage end-to-end travel logistics for employees and leadership. - Coordinate business visa applications including documentation, consulate appointments, and agency follow-ups. - Ensure travel policies are followed and maintain clear documentation for reimbursements and audits. - Organize team relocations, executive visits, and logistics for external guests or candidates. Office Operations & Facilities: - Supervise daily operations including housekeeping, pantry, security, and vendor SLAs. - Maintain seating plans, desk allocations, and support hybrid/WFH setups. - Manage access control systems and visitor logs. - Implement and maintain workplace health & safety protocols. Events & Offsite Coordination: - Plan logistics for team events, leadership offsites, town halls, and workshops. - Coordinate with venues, travel partners, caterers, and internal stakeholders. - Ensure event-day readiness with backups for power, connectivity, and equipment. Cross-functional & Admin Support: - Collaborate with HR and IT for employee onboarding/offboarding, desk setups, kits, and documentation. - Handle ad-hoc admin tasks: courier, shipping, vendor payments, and repair requests. - Maintain documentation for audits, policy compliance, and procurement history. - Support internal communication on facilities, travel updates, and office notices.
